1. Who controls your data

Visual Normality is the controller of personal data described in this notice.

If Visual Normality later becomes a Dutch private limited company, this notice must be updated with the full registered BV name, registered office, KVK number, and contact details.

2. Scope

This notice covers personal data processed through this public website, email enquiries, demonstration requests, and related business communications. It does not yet govern customer production environments or personal data processed on a customer’s behalf. Those activities require customer terms, a data processing agreement, and product-specific documentation before launch.

3. Data we handle

Information you provide

• contact details, such as your name, business email address, telephone number, role, and organisation;
• the content of messages, meeting requests, feedback, and other correspondence;
• information you choose to share while discussing a potential customer, supplier, partner, or employment relationship.

Information generated when you use the website

• technical request data that a hosting provider may process, such as IP address, timestamp, requested page, device or browser information, and security logs;
• your locally stored privacy choices;
• optional analytics or marketing data only if such technology is introduced, this notice and the Cookie Policy are updated, and any required consent has been obtained.

Sources

We receive personal data directly from you, from your organisation, through normal business correspondence, and from the technical operation of the website. We may also use public professional information where relevant to a genuine business enquiry.

Please do not send sensitive personal data, confidential production data, export-controlled material, patient data, or credentials through the public website or ordinary email.

4. Purposes and legal bases

Where we rely on legitimate interests, we consider the necessity of the processing, its expected benefit, and its effect on your rights. You may object as described below.

5. Sharing and international transfers

We may disclose personal data only as needed to:

• hosting, email, security, professional-advisory, and other service providers acting under appropriate obligations;
• business counterparties where you ask us to make an introduction or where disclosure is necessary for a proposed relationship;
• public authorities, courts, regulators, or professional advisers where required by law or necessary to protect legal rights;
• a successor in a merger, financing, reorganisation, or sale, subject to appropriate safeguards.

We do not sell personal data. This draft assumes that Visual Normality does not share personal data for cross-context behavioural advertising and does not use targeted advertising. Confirm this before publication and update the notice before introducing such practices.

If personal data is transferred outside the European Economic Area, we will use an applicable adequacy decision or safeguards such as the European Commission’s Standard Contractual Clauses, together with supplementary measures where needed.

6. Retention

We keep personal data only for as long as necessary for the stated purpose, legal obligations, and reasonable dispute periods. The following draft periods should be confirmed against actual systems:

7. European privacy rights

Subject to the GDPR and applicable exceptions, you may request access to, correction of, deletion of, restriction of, or portability of your personal data. You may object to processing based on legitimate interests and withdraw consent at any time without affecting earlier lawful processing.

Send a request to hello@visualnormality.com. We may ask for information reasonably needed to verify your identity and request. We normally respond within one month; the GDPR permits an extension for complex or numerous requests.

You may lodge a complaint with the Autoriteit Persoonsgegevens, the Dutch supervisory authority, or another competent European supervisory authority.

We do not currently use solely automated decision-making that produces legal or similarly significant effects through this public website.

8. U.S. state privacy supplement

This section applies only where a U.S. state privacy law applies to Visual Normality and to the individual making the request. State laws commonly exclude business-to-business, employment, publicly available, or other categories of information, and often apply only after statutory thresholds are met.

Categories handled

During the preceding 12 months, the website may have handled identifiers, internet or electronic network activity, professional or employment-related information, and correspondence content. The sources, purposes, and recipient categories are described above.

Your rights where applicable

You may have rights to know or access, correct, delete, or obtain a portable copy of personal data, and to opt out of sale, sharing, targeted advertising, or certain profiling. You may also have a right to limit certain uses of sensitive personal information, appeal a refused request, use an authorised agent, and receive equal service without unlawful discrimination.

Visual Normality does not currently sell personal data, share it for cross-context behavioural advertising, use it for targeted advertising, or profile website visitors in furtherance of decisions producing legal or similarly significant effects. We do not knowingly process sensitive personal data through this public website.

We recognise Global Privacy Control as an opt-out signal for sale, sharing, and targeted advertising where legally required. Because those activities are not currently performed, the signal does not otherwise change the site experience.

Requests and appeals

Email hello@visualnormality.com with “U.S. Privacy Request” in the subject line. Describe the right you wish to exercise and your state of residence. If we deny a request and your state provides an appeal right, reply with “Privacy Appeal.” We will not discriminate against you for exercising a legally available privacy right.

California residents may also request the categories and specific pieces of personal information collected, the categories of sources, business or commercial purposes, and categories of recipients. This notice is not an admission that Visual Normality meets the CCPA’s applicability thresholds.

9. Children

The website and product materials are intended for business users and are not directed to children. We do not knowingly collect personal data from children under 16 through this website. If you believe a child has provided personal data, contact us so we can review and, where appropriate, delete it.

10. Security

We use proportionate technical and organisational measures intended to protect personal data. No transmission or storage method is completely secure. Security claims and controls for a future hosted product must be documented separately and should not be inferred from this website notice.

11. Changes and contact

We may update this notice as the website, product, vendors, or law changes. We will change the effective date and provide additional notice where required.
